The FAQ for the AGM
The event you have all been waiting for is but a week away. It will be held at the Primrose in Ballynahinch on the 17th November at 7:00pm. I thought it might be helpful for those that haven’t been to AGM or are considering going but have reservations. Here goes with the FAQ’s:
FAQ 1: When I go the AGM I might get a job?
Answer: Hopefully by the AGM we will have all the roles filled although we do have occasion where we need a role filled. You will not be BULLIED into taking a job so relax and don’t be afraid to sit on the front row.
FAQ 2: Will there be free Tea, Coffee and maybe Jaffa Cakes?
Answer: Free Tea and Coffee will be provided but the Jaffa Cakes are a maybe.
FAQ 3: What do I need to go if I’m not getting a job on the committee?
Answer: This is the perfect opportunity to get together and review what we have achieved over the year and get the memberships views on matters like Club League, Sportive’s, Subsidies etc. YOUR OPINION COUNTS
FAQ 4: Will it be long and boring?
Answer: The goal is to keep the information short and sweet and get as much interaction from you. There are no plans for anyone to do long speeches because everyone wants to get back to chatting about how they aren’t doing any winter training and the many injuries they have.
FAQ 5: What are the roles in the committee and how do I put myself forward to help? Also what do people do on the committee
Answer: Below is a list of the roles and expectations of the roles we are trying to fill and people have volunteered for most of the roles. If you are interested in a role email the committee@dromaracc.co.uk or mention to someone at the meeting. I don’t believe we have a treasurer yet so if you can help you know what to do.
Chairperson
- Chair monthly committee meetings and AGM
- General oversight of all club activities and planning
Secretary
- Attend all committee meetings if possible
- Handle all incoming and outgoing correspondence
- Manage club interaction with CI and CU (events, membership, etc)
- Adminstration of club membership (now handled mainly by CI direct)
- Other admin duties (event notifications, insurances, etc)
Treasurer
- Maintain records of all financial transactions
- Manage petty cash, bank accounts, cheque books etc
- Produce annual financial report for presentation at AGM
Governance Officer
- Attend at least every other committee meeting
- Develop and maintain club’s formal structures
- Written procedures
- Risk assessments for events
- Key role in disciplinary matters or complaints
PR Officer
- No requirement to attend committee meeting
- Design and maintain website
- Set up and operate online event entry systems
- Manage social media accounts
- Attend 2-3 committee meetings per year
- Write regular reports on club activities & events (past and upcoming)
- Take photos and collect photos from members and other sources
- Publish on club website and social media
- Submit reports and photos to local media (print, radio & TV)
Road league Officer
- Attend most committee meetings
- General responsibility for club road league
- Produces TT & race calendar at start of season
- Oversees allocation of jobs related to club
Off Road Representative
- Attend most committee meetings
- General responsibility for tasks relating to off-road cycling
- Manages off-road club league
- Assists with other club events
- Organise MTB away day at end of season
- Manage annual off road budget
Leisure Representative
- Attend most committee meetings
- Someone who partakes in weekly leisure rides
- First point of contact for “newbies”
- Oversee and manage weekly leisure rides
- Super Sundays and away days
- Manage annual leisure budget
Road Racing representative
- Attend committee meetings when possible during race season
- Someone who takes part in open road racing
- Agree list of “supported” events for incoming year
- Assist with selection of riders for team events
- Assist club league secretary with road racing (handicaps, groups, etc)
- Manage annual road racing budget
Womens’ Representative
- Attend most committee meetings (flexible)
- Oversee women’s interests across all cycling disciplines
- Work with other committee members as required
- Manage annual women’s budget
Safeguarding Officer
- Attend 2-3 committee meetings per year
- Oversee club safeguarding policies and procedures
- Maintain lists of Access NI cleared and safeguard trained members.
- Assist with any safeguarding related enquiries
Development Officer
- Attend committee meetings where possible
- Responsible for encouraging development of members abilities through training and coaching
- Particular emphasis on youth development; managing the clubs youth coaching scheme
